These guidelines ensure that all events align with our mission and values while providing a positive experience for all involved. By renting our space, you acknowledge that you have read, understood, and agree to comply with these guidelines.

1. Space Details and Capacity
Lakmahal Community Library offers four spaces for events:
- Main Library Hall: Capacity of 40-60 people, with seating arrangements for up to 60 individuals theater-style, or 22 people seated at tables and 20 on floor cushions.
- Wood Room: Capacity of 40-70 people, with seating for up to 40 in theater style, or 25 at tables and 10 on floor cushions.
- Half Moon Verandah: Capacity of 20 people, with seating for 20 in chairs or 10 at tables.
- Garden: Two areas with a total capacity of 60-100 people.

The long front garden accommodates 40 theater-style and 30 at tables.
Note: Capacities are carefully determined to ensure safety and comfort for attendees. All events must comply with fire safety regulations, including maintaining unobstructed access to emergency exits.

2. Booking Process and Rental Fees
Our booking process is streamlined to ensure your event planning experience is as efficient as possible:
- Event Inquiry Submission:
Begin by completing the Event Inquiry Form, providing essential details about your event, including the preferred date, space requirements, and event type. We request that inquiries be submitted at least seven days in advance to allow sufficient time for review and confirmation. - Quotation Response:
Once your inquiry is received, the Events and Programs Manager will respond with a detailed quotation within two working days. - Quotation and Rental Fees:
- Base Rate: LKR 30,000 for a standard 4-hour booking.
- Additional Time: LKR 6,000 per hour beyond the standard booking duration.
- Refundable Deposit:
- LKR 5,000 for most events.
- LKR 10,000 for events involving significant logistics, large audiences, or additional risk (e.g., catering or heavy equipment setups).
- Payment Deadlines:
To confirm your booking, the rental fee and refundable deposit must be paid in full no later than five days prior to the event. Bookings are not considered confirmed until payment is received. - Refundable Deposit Returns:
Deposits will be refunded immediately after the event at the Library’s front desk or via bank transfer within three working days. Please ensure all items are cleared from the premises promptly; otherwise, a late fee of LKR 2,500 per day will be deducted. - Discounts and Partnerships:
- Eligible events (publicly accessible, free entry, or aligned with Lakmahal’s mission) may qualify for rental fee discounts. Final decisions are made by the Library’s Events and Programs Manager.
- Venue partnerships are available for free public events that align with Lakmahal’s values. Partnership events must acknowledge Lakmahal as the venue and/or event partner in all promotional and public relations materials.
- Cancellation Policy:
- Organizer-Initiated Cancellations:
If you need to cancel your booking, please notify us at least 48 hours before the event. Cancellations made within this timeframe will result in forfeiture of the full rental fee; however, the refundable deposit will still be reimbursed. - Library-Initiated Cancellations:
Lakmahal Community Library reserves the right to cancel a booking under the following circumstances:- If unforeseen circumstances arise that make the venue unavailable or unsafe (e.g., structural damage, power outages).
- If the event is found to violate the Library’s mission, values, or these terms and conditions.
- Policy on Allegations of Misconduct:
Lakmahal Community Library reserves the right to deny or cancel event rentals or partnerships if it comes to light that the individual(s) or organization(s) involved in the event are under investigation, facing allegations, or have been accused of misconduct. This includes, but is not limited to, allegations of sexual harassment, violence, or other unethical or criminal behavior.
If such information is brought to our attention after a booking has been confirmed, the Library retains the right to cancel the booking with immediate effect. In such cases:- Notice will be provided to the involved parties.
- Deposits or payments will be refunded in full.
- The Library’s decision in such matters will be final.
3. Permissible Events
Lakmahal Community Library allows a wide variety of events for rental but gives prioity to events that reflect our commitment to literature, creative arts, and cultural engagement. Examples include:
- Book clubs, author talks, and literary discussions.
- Writing workshops, seminars, and storytelling events.
- Performances and film screenings related to literature.
Prohibited Events:
- Religious ceremonies or services.
- Rallies, demonstrations, or events promoting specific parties or politics.
- Activities that could damage the Library’s premises or conflict with its mission.
